The Whys and Hows of MS Outlook ‘07

If you’re still using web-based emails, be it for your business or not, then you’ve got to step it up a notch! Having a decent email client like Microsoft Outlook 2007 or Mozilla Thunderbird would do.

Actually, both are awesome. MS Outlook is part of MS Office so unless you’re a relentless maggot of a pirate, it comes with a price tag. Thunderbird can be downloaded for free at the Mozilla site. We’ll be discussing the former since I’m more of an Outlook guy and oh yeah, blog title check. The set-up procedures are almost the same for both so you can give Thunderbird a shot.

How can you differentiate Web Mail from Client Mail?
Both use the internet to send and receive email. Email, when sent to the recipient, is stored to any of the ff: his web-based email account, web hosting provider or internet service provider. The recipient would then receive the email depending on the type of account he has.  Web Mail means accessing email through a web browser i.e. Yahoo! Mail and Gmail whereas Client Mail uses a software such as Outlook to read and send email from your computer for easier access.

Advantages and Disadvantages of Web Mail?
1. All you need is a web browser and an internet connection. No installation.
2. Save hard disk space. Email is stored on a remote server.
3. No software installed so no threat to virus attacks.
4. You can’t access anything without an internet connection.
5. No fancy features. Limited storage and accessibility. No backup whatsoever.
6. Every click to a link needs to load to a page. It’s draggy.

How about Client Mail?
1.
Easier and faster access.
2. You don’t need an internet connection to view already downloaded data.

3. You can compose email while offline and then send it later.

4.
Added features like rules, alerts, calendar, events, tasks, design templates, etc.
5. You need this if you’re gonna have your own domain email.
6. Added hard disk space.

So how do you set-up MS Outlook?
Oh yeah, did you know that there are some web mail clients that can be tweaked so that you can forward web-based email to your client mail? In this example we are going to set-up Outlook ‘07 with a Gmail account.
1. Get a Gmail email account if you still don’t have one here.
2. Enable your Gmail account’s POP features. Click here for the easy 6-step procedure.
3. Open Outlook ‘07. Add a new email account. Fill up the necessary fields.

Now that’s the gist on how to configure Outlook ‘07 with a Gmail account. If you want to add your domain email as a new account, just like my chadsenga@perfectrenders.com, then you must put in your already configured web host’s POP and SMTP accounts, not to mention the already set-up email account for that domain. Let’s save that for a later blog entry.
